How to Enrol

After visiting our enrol now page to create your account, please follow the next steps below:

We want you to have the best experience from the Xap Portal - the following steps are below to help you get started:

LOG IN TO XAP

  • You would have received an email from Xap – In case you haven't received this email yet, please be sure to review your Spam and Junk folders, and also perform a search for 'Xap' in your inbox. *Please verify that your email and contact information are accurate during the create account process to ensure the welcome email is sent to the correct address. If you have not yet received your welcome email, please notify us by sending an email to admin@oshcadventures.com.au.

  • Activate your Xap Account by clicking on the big blue button in your email.

  • You will need to set up a Password

  • After configuring your XAP login details (email and password), you can proceed to your designated app store to acquire the XAP Home app.

DOWNLOAD THE XAP SMILE APP:

This application enables you to perform tasks such as making mobile bookings, reviewing your account, finalising your waitlist application, and accessing Invoicing.

Before you start, we require families to check and update:

  • Contact details for Family and Children.

  • Medical information for health conditions, immunisations, and additional needs, including allergies.

  • The latest copy of any medical plans.

Completing enrolment information using the Xap Smile App

  1. Go to the Menu and select “Family”.

  2. Under the Children Section, for each child, click on their name and complete all sections.

Completing enrolment information using the Xap Guardian Portal

  1. Click the Families icon in the left-hand menu.

  2. Under the Children Section, select the 3 dots (…) menu to the right of the child’s name and select “Edit” to complete enrolment details

Important: Each section must be completed and saved before moving on to the next. You will not be able to exit a section without completing all mandatory questions. If you exit a section without finishing it in full, anything you have completed will not be saved.

Once you have selected Edit Enrolment, your enrolment form will open, ready to complete. You will not be able to move through or submit your enrolment without completing every section and question.

Once a section is complete, it will be marked with a green tick

Check that you know your Kiosk code so you can sign your child in and out

  1. Select the Families Screen

  2. Select the 3-dot menu next to the Authorised Nominee or Guardian

  3. Select Edit from the drop-down menu

  4. Select the Authorisations section or scroll down to the Authorisations section

  5. You will be able to see the encrypted Kiosk code (Select the eye to view the current Kiosk code)

  6. Add in the new Kiosk code (or view to confirm if no changes are occurring)

  7. Select Save on the top right-hand side to save the Kiosk code changes

Review your details in Xap and update if needed

  1. Select the Families Screen

  2. You will be able to review the Family Screen and update information as required using the three-dot menus or the green plus signs

  3. You can update your child’s information by clicking on the Child tab at the top of the screen

Upload any important medical information

  1. Select the Families Screen

  2. You can update your child’s information by clicking on the Child tab at the top of the screen

  3. In the ‘Edit Child’ screen, add relevant information, including mandatory immunisation information

  4. Upload important attachments such as Asthma Action Plans, etc.

Upload medical plans (e.g. Asthma Action Plans / Anaphylaxis Action Plans)

  1. Select the Families Screen

  2. You can update your child’s information by clicking on the Child tab at the top of the screen

  3. In the ‘Edit Child’ screen, scroll to ‘Health & Immunisation Details’

  4. When you select ‘Yes’ for specific health conditions such as Asthma/Anaphylaxis, you will be shown some follow-up questions

  5. Click the paperclip icon to upload a copy of the medical plan document (this could be a photo from your smartphone if you prefer)

  6. Enter the name & expiry date of any relevant medication, along with any triggers

  7. Repeat this for any applicable medical conditions

  8. Don’t forget to Save!

Upload immunisation details

  1. Select the Families Screen

  2. You can update your child’s information by clicking on the Child tab at the top of the screen

  3. In the ‘Edit Child’ screen, scroll to ‘Health & Immunisation Details’

  4. Go to the ‘Immunisation’ section and select ‘Yes’ or ‘No’ under ‘is the child immunised’

  5. If ‘No’: Click the paperclip icon to upload a copy of the medical exemption document (this could be a photo from your smartphone if you prefer)

  6. If ‘Yes’: tick the relevant immunisations your child has received

  7. At the bottom of the section, upload either an Immunisation History Statement or an Immunisation Status Certificate

  8. Click the paperclip icon to upload a copy of the immunisation document (this could be a photo from your smartphone if you prefer)

  9. Don’t forget to Save!

Review your Nominee Contact details in Xap and update if needed

Families need to check and update authorised contacts, emergency contacts, and Nominees. Only contacts who are set up as “Guardians” will have access to the Xap Guardian Portal and App. If you have a Nominee listed on your account whom you would like changed to a Guardian to give them access to the portal and App, please let us know

  1. Select the Families Screen

  2. You will be able to review the Family Screen and update Nominee information as required by clicking the three-dot menu or the green plus sign (to the right-hand side of the Nominees section of the screen)

  3. Update your Nominee’s information – an asterisk means the field is mandatory to complete

  4. Add authorisations as appropriate

  5. If the Nominee has permission to drop off or pick up the child, a 4-digit kiosk code will be created. You can change this number if you wish.

  6. Make sure you tell the nominee what their 4-digit code is – they will need this to use the Xap Kiosk to sign your child in or out at the centre

  7. Don’t forget to Save!

Review your Notification Settings in Xap and update if needed

  1. Xap will send various notifications, and you can control what you would like to receive. We recommend enabling all of these, so that you don’t miss anything important.

  2. Select the Notification Bell (towards the top-right of your Guardian Portal Screen, in the purple bar)

  3. Select the ‘cog’ icon to go into settings

  4. Select YES if you would like to STOP viewing the notification, Select NO if you would like to VIEW the notification

  5. Don’t forget to Save!

  6. Check that your smartphone settings will allow notifications from the Xap Smile App

Accept the Offer of Enrolment

  1. Once submitted, log back in and navigate to Waitlist/Tours. From here, click “Accept Offer” to finalise the enrolment.
